Green Room Place, Ltd. (GRMT) is the “Controller” of the personal data provided to us. We collect personal data about students, prospective students, parents and guardians, teachers and supporters.

Why We Need Your Data?

Our legitimate interest for processing your personal data is to fulfil our objective to provide music education, including by way of residential courses. Information required includes information relating to students’ musical ability and experience, as well as health and dietary information relevant for the course or activity in question. Where permission has been obtained we also use contact details to provide information about concerts and events, and about our development initiatives and plans. Information is also used to collect fees, for accounting purposes and to fulfil reporting obligations to grant making bodies who may provide financial support for our work.

What We Do With Your Data

The data you provide is processed by GRMT staff in the UK, USA and Bangladesh. This information is securely located on computers and backup devices, and in some case on hard copy files. We include some pictures and video recordings in publicity and fund raising material, including on websites and social media. Consent is sought on a course by course basis for photographs to be used, and specific consent is obtained for video recordings. We have a strict policy that only allows personal information to be used for limited purposes. We will never sell it or share it with another organisation or individual for their benefit. Unless consent is obtained, personal data will only be used and retained in relation to the activity or activities applied for, and (if appropriate) to invite students to future activities. We will however provide information to the relevant authorities if we are required by law to provide it.

How long we keep your data for?

Our policy is to delete medical and dietary details held once at least two years has elapsed from the last course or activity attended. Other student details are retained as it is important that an accurate historical record is maintained of attendance at our courses. The reasons for this include child protection and requests that may be made by students for references. Details of parents, guardians, teachers and supporters are retained for as long as deemed to be relevant or necessary. Concert programmes and similar documents are also retained for archive purposes. If you use your credit or debit card to purchase from us or to make a donation we will ensure that this is carried out securely. Our card payments are processed by third parties who are accredited with the Payment Card Industry Data Security Standard (PCI-DSS). We do not store your card details.
